A leading organisation in Cheshire is seeking a Temporary Estates & Facilities Senior Administrator to provide essential operational and administrative support across its property portfolio. Working closely with colleagues, contractors and service managers, you’ll help ensure buildings remain safe, compliant and well maintained during a period of increased activity and service development.
This is a hybrid role, offering a blend of on‑site presence and home working. You’ll join on a 6‑month temporary agency contract, with an immediate start available.
What You’ll Be Doing
Maintenance & Compliance Coordination
- Act as the central point of contact for maintenance requests.
- Log, monitor and track reactive and planned works.
- Coordinate statutory inspections, servicing and compliance activities.
- Liaise with contractors, site leads and managers to arrange works, pre‑start meetings and snagging close‑downs.
- Escalate urgent issues or delays appropriately.
Administrative Systems & Reporting
- Maintain and develop spreadsheets, trackers, databases and SharePoint systems.
- Keep maintenance, compliance and asset records accurate and up to date.
- Produce reports, schedules and management information.
- Support improvements to systems and processes.
Contractor & Financial Administration
- Maintain contractor records, insurance documents and service schedules.
- Arrange contractor visits and site access.
- Process invoices and support procurement and quotation activity.
- Track expenditure and assist with financial reporting.
Communication & Coordination
- Prepare agendas, meeting notes and action trackers.
- Respond to enquiries professionally and efficiently.
- Support effective communication across multiple sites.
What You’ll Bring
Essential:
- Strong administrative or coordination experience in a busy environment.
- Confident using Microsoft 365 (Excel, Outlook, Teams, SharePoint).
- Experience maintaining records, trackers or scheduling systems.
- Excellent organisation, accuracy and attention to detail.
- Strong communication and customer service skills.
- Ability to manage competing priorities and improve processes.
Desirable:
- Experience in Estates, Facilities, Property, Operations or Health & Safety.
- Contractor coordination experience.
- Knowledge of compliance, maintenance or asset management.
- Experience within education, charity, healthcare or public sector settings.
